CSO Accreditation and Registration

The UN has issued an information note for civil society organisations wishing to participate at the ReCo. The full information note contains all relevant details, what follows below is a summary.

Accreditation 

All organisations wishing to attend must request accreditation. All requests for accreditation must be submitted no later than 11 September, using this online form. 

In addition, NGOs must submit to the Secretariat ([email protected]) a separate, written accreditation request on the official letterhead of the organisation listing the representatives who will attend, including their full names and titles. Revisions may be submitted until 20 November 2026. One of the representatives must be designated as the focal point of the organisation for the pick up of grounds passes and the letter must include their personal email address and direct telephone number. This person will be responsible for picking up access passes and handing them out to the other delegates from their organisation. 

NGOs without ECOSOC status should indicate previous interactions between the organisation and the United Nations in relation to nuclear disarmament and nonproliferation issues and provide a mission statement or summary of work of the organisation.

Those NGOs that have requested accreditation as stated above will be informed by the Office for Disarmament Affairs by email by 29 September 2026 of the outcome of their request. Individuals requesting accreditation must be at least 18 years of age.

Registration (to be completed after accreditation is approved)

Online registration must be completed by 20 November by representatives of NGOs whose accreditation has been approved.

Attendees must complete the registration form on the online Indico system and follow the process as described. Online registrations must include the original accreditation request letter. Once registrations have been approved, NGO representatives will receive a confirmation email.

Grounds passes valid for the duration of the Conference will be handed out to the organisation’s focal point at the following times and location:

Friday 27 November, 12–4 p.m.
Monday, 30 November, 8 a.m.–12 p.m.

Representatives will need to have their passport or other government-issued identification and a printed copy of the confirmation email with them to collect a grounds pass.

Letter Of Invitations And Visas       

The United Nations is not in a position to provide letters of invitation or letters to consulates requesting that NGO representatives be provided visas for travelling to New York in order to attend the meetings of the Conference. It is the responsibility of individual NGO representatives to make their own arrangements for visas, travel and related costs.

Disclaimer

While we hope that there will be a big and diverse civil society attendance, we cannot take responsibility for consequences that could arise from the individual traveller’s (or their organisation’s) decision to come to New York. 

Current immigration rules to the US are restrictive and citizens of certain countries are required to pay a bond. The United Nations and ICAN are unable to waive this requirement nor to provide any financial assistance. Moreover, ReCo participants from outside of the US might encounter issues at the ports of entry to the country, including difficult questions, temporary detention for interviews or screening of mobile devices. Even holders of valid visas (or ESTAs) can be rejected at the port of entry. We recommend that civil society representatives get in touch with their government delegation and request to be added to the official delegation list.

Side Events at the UN

The deadline for government side events & exhibition applications is 2 October 2026. These side events must be coordinated directly with the relevant state submitted directly to UNODA.

NGOs will also have the use of a Conference Room at UNHQ during the meeting. ICAN, as Civil Society Coordinator, will facilitate use of the room. If you are interested in using the Conference Room for side events, please indicate your preliminary interest through the survey above and we will follow up with more information about the application process, which will close on 2 October 2026. 

To maximise the use of the space and meet as many needs as possible, we’ve blocked five slots per day. These will be: 10:00-11:15, 11:30-12:45, 13:00-14:45, 15:00-16:15, and 16:30-18:00. 

If your meeting requires microphones, a technician will set up and operate a portable conference system with up to 32 wireless table-top microphones. This service also allows for an audio recording of the meeting. Meetings up to 3 hours requiring microphones cost $935.

Working Papers

The UN Office of Disarmament Affairs will provide a template for working papers. Once the provisional timetable is available, there will be an opportunity to submit an expression of interest to provide a working paper and to briefly describe the topic you’ll address. 

Statements

NGOs will be given a few speaking slots per session. Once the provisional timetable is available, there will be an opportunity to request a speaking slot to address specific agenda items. 

Code of Conduct

For all events within the UN system, the UN code of conduct applies. Additionally, ICAN events conform to ICAN’s Statement of Values  and Code of Conduct. We also encourage participants to become familiar with the Nuclear Truth Project Protocols especially in engaging with affected communities. 

Sponsorship (ICAN partners only)
