NGOs will have the use of one of the letter conference rooms (likely Conference Room A) at UNHQ during the meeting. ICAN, as Civil Society Coordinator, will facilitate use of the room. Already many organisations have expressed a keen interest in holding side events, and space is limited. 

If your organisation is interested in holding a side event, please fill out this form to let us know. To maximise the use of the space and meet as many needs as possible, we’ve blocked five meeting slots per day.

These will be:

• 10:00 - 11:15 (75 minutes)
• 11:30 - 12:45 (75 minutes)
• 13:00 - 14:40 (105 minutes- coinciding with the lunch pause)
• 15:00 -  16:15 (75 minutes)
• 16:30 - 18:00  (90 minutes)

After receiving your information we may make recommendations and introductions to facilitate cooperation for those addressing similar themes.

This room does NOT have a built-in audio/visual/ broadcast system. Digital nameplates, interpretation, videoconferencing, and webcast are not available. It is equipped with one 75" video monitor with audio, HDMI cable and remote control. Organisations may use this equipment at no cost. Bring your own laptop with the presentation files already uploaded on the hard drive. You will connect your laptop to the monitor using the HDMI cable. If using an Apple laptop, you must bring an adapter/ dongle to connect to the HDMI cable. If your meeting requires microphones, a technician will set up and operate a portable conference system with up to 32 wireless table-top microphones. This service also allows for an audio recording of the meeting. Meetings up to 3 hours requiring microphones cost $935.
